  • Is there an FAQ for using Notion with teams?
    Indeed there is! 🙌 Notion for teams is one destination for answers to all our most common questions about using Notion with teams.
  • How can I empty my trash?
    There isn't a way to empty the trash all at once, since our trash feature functions more like an archive. This allows you to go back and restore deleted content whenever you need to. Keep in mind that pages in your trash don't count toward your block limit on the Free Plan. And you can always permanently delete pages individually by clicking on Trash in your sidebar, then clicking on the trash can icon next to the pages you want to eliminate for good.
  • How can I use Notion offline?
    If you need to access certain pages when you go offline, open the pages you want while you're still online and keep them open. This will allow Notion to cache the pages for offline editing, and we'll sync your changes across your devices when you go back online.
    Better offline support is on the roadmap! We know there's more work to be done here 😅
  • Does Notion have recurring tasks or recurring reminders?
    Not at the moment, but they're definitely on the roadmap! If you'd like us to further prioritize this, send us a message or tweet at us with your vote! 📮
  • I can't seem to "select all" on mobile. How can I copy text from multiple blocks?
    Yeah, we don't support selecting multiple blocks at once on mobile yet 🙈 It's on the roadmap though, stay tuned.
    For the time being, you can lock your page by going to the ••• at the top right, then toggle on Page Lock. That will allow you to select multiple blocks! It's a clunky workaround, admittedly, but hopefully that helps for the time being.
  • Is there a way to disable the menu that appears every time I type /?
    There's no way to customize the slash command menu at the moment, unfortunately. It's on our to-do list, though! 🤞
  • Can you link to a specific section of a page, like an anchor link?
    Every content block on a Notion page has its own link. You can copy the link to a specific piece of content (whether that's a heading, image, paragraph or row in a table), by clicking the ⋮⋮ icon that appears to the left on hover and choosing Copy Link. You can paste that wherever you want.
    If you want to create a table of contents with anchor links at the top of a page, type /table of and an actual table of contents will pop up with automatically generated links to all the headings on your page with H2 and H3 headlines indented. More on this →
  • Can I rename the sections in my sidebar or add my own custom sections?
    Not at the moment, unfortunately 😓If your sidebar is feeling cluttered, you can always consolidate your pages under more general top-level pages. For example, if you wanted to organize pages by team, you could create a top-level page for Engineering, Marketing, Design, etc. and then organize sub-pages under them. That way, the top-level page becomes a directory of pages for each team!
  • Can I justify text or images to be left/right/center aligned?
    Notion doesn't have traditional alignment options at the moment. For now, you can align content left or right by creating a new empty line under it, then using the ⋮⋮ icon to drag it to the left or right to the content. If you drag it to the left, your content will move right, and vice versa. You're essentially creating a new empty column that you can also resize.
  • How can I insert an emoji in-line with my text 🤔?
    Use your computer's emoji picker to include emojis in-line on a Notion page, or anywhere else on your computer! Here's how to bring up your picker:
    Mac: ctrl + cmd + space
    Windows 10: windows key + . or windows key + ;
  • Can I make full-width pages the default? Can I set default styles for all new pages?
    Not yet, but a lot of users have asked for this! We're working on it, stay tuned...
  • Does Notion support custom domains?
    You can customize part of your URL by following these instructions. For example, if your company is Acme, Inc., you could customize your URL to www.notion.so/acmeinc, but unfortunately not www.acmeinc.com (quite yet).
    That said, fully custom domains would be a great feature to add in the future. If you'd like us to further prioritize this on our roadmap, send us a message or tweet at us with your vote 📮
  • Can you create columns inside of a toggle?
    Officially, not yet. We're still working on building that in. Unofficially, here's a workaround you can use in the meantime 😉
  • Is there a way to expand or close all the toggles on a page at once?
    Use the shortcut cmd/ctrl + option + t to expand or close all toggles. Give it a try on this page!
  • Is there a way to disable the menu that appears every time I type /?
    There's no way to turn this off by default for now, but you can press esc as soon as it pops up in order to dismiss it.

Databases

  • How can I turn a full-page database into an in-line database?
    To turn a full-page database into an inline database, you can just drag the database into another page in your sidebar, which will turn it into a sub-page.
    Then click the ••• button at the right of the title of the sub-page, and choose Turn into Inline in the dropdown menu to turn it into an in-line database.
    To turn it back into a full-page database, you can click and drag the inline database back into your sidebar.
  • Is there a way to add background colors to specific cells or cards? Or conditional formatting?
    Not at the moment, unfortunately. It's a popular feature request though, so definitely on our radar! For the time being, you can use Select and Multi-select properties to add a pop of color to your table 🎨
  • Why can't I delete the Title property in a table?
    Our tables are a lot different than traditional spreadsheets, since each row represents a database entry that can be opened as its own page, or visualized in other database views. The Title property gives you access to database pages. That said, you can drag the column left or right to re-order it however you want!
  • Is there a way to skip the modal view when I create a new page, and always Open as Page by default?
    Not at the moment, unfortunately.
  • Does Notion have simple (non-database) tables?
    Not at the moment — it's a popular feature request though and on our to-do list.
    For the time being, you can click and drag text blocks to create columns, more on that here.
  • Is there a way to merge cells in a table?
    Not at the moment, unfortunately. Our tables are different than traditional spreadsheets, since each row represents a database entry that can be opened as its own page or visualized in other database views.
  • Any way to Group By a relation or formula property?
    Not currently 😓 It’s a legit use case though, and definitely something we want to support in the future.
  • I have a Done column in my board that's getting a bit crowded. Can I archive these automatically?
    We'd recommend hiding this column. You can do this by clicking the ••• icon next to the column heading and selecting Hide. You can drag any completed tasks into this hidden archive by clicking and dragging your cards into that tag under Hidden Columns.
  • How can I include an emoji in a tag, like a multi-select option called 🔥Urgent?
    Use your computer's emoji picker to include emojis in-line on a Notion page, or anywhere else on your computer! Here are shortcuts to bring up the picker:
    Mac: ctrl + cmd + space
    Windows 10: windows key + . or windows key + ;
  • How can I integrate a Notion calendar with my Google/Apple/Microsoft calendar?
    We don't currently have any calendar integrations, but we do support the ability to embed a view-only Google Calendar into Notion if you're embedding from the same email address that you're using with your Notion account.
    This is a popular feature request though, so it's definitely on our to-do list 📆
  • Any way to set a default date format for the date property?
    Not at the moment, unfortunately. It’s definitely something we want to support in the future, though. We appreciate your patience while we make our way though our to-do list! 🙏
  • Can I have calendars start on Monday instead of Sunday?
    Yes! This setting is automatic based on your region, but you can turn it on manually in the My Account tab of Settings & Members in the left-hand sidebar. This will apply to every calendar in your Notion account.
  • Any way to see a weekly/daily/yearly view instead of the monthly view?
    There's a daily view on mobile that you can access by tapping on any date in your calendar, but that's the only other option at the moment. Our calendars have a ton of room for improvement 🙈Stay tuned.
  • Is there a way to create a "Master Calendar" of all the tasks and due dates from across my workspace?
    There's no good way to do this at the moment, unfortunately. It's something we want to tackle in the future though. For the time being, we recommend consolidating your team tasks into a single database with multiple views, assignees, and tags. It could look something like this:
  • I tried sharing a page with a linked database, but the recipient wasn't able to see it.
    Whoever you share this type of page with needs to have access to the original database to be able to see any linked excerpts of that database.
  • Can I name my linked database something different from the original database?
    Not at the moment. We've had a few users ask about this though, so it's on our to-do list!
  • There's a ton of blank space to the left of my linked database. How can I get rid of it?
    Turn on Full Width in the ••• menu at the top right of your page 😉
  • The database I'm trying to link isn't showing up in my menu of choices when I create a Linked Database block.
    You're not limited to the databases in that list! After you create the Linked Database block, just start typing the name of the database you want to link where it says Search for a Database...
  • Are the templates I create in a database available in all other databases in my workspace?
    No, they're only available in the specific database where you created them. For every new database you create, you can define new templates.
  • How do relation properties work with database templates?
    While you can create relation properties in database templates, we don't recommend that you define them unless you want every page of a certain type to be related to the same page(s).
  • Is there a limit to the number of database templates I can make?
    Nope! You can make as many as you want.

Sharing & collaborating

  • How can you turn a member into a guest?
    • Go to Settings & Members, scroll down to find the right member and click the dropdown to the right side of their name.
    • Select Remove. When you do this, they'll lose access to all their private pages in this workspace, so make sure they have their private pages backed up elsewhere before you do this.
    • Once they've been removed as a member, you can re-add them as a guest from the Share menu at the top of any page, by following these instructions.
  • Is there a limit to how many guests can I add?
    Nope, you can add an unlimited number of guests on both free and paid plans. The more the merrier! More on guests here →
  • I tried adding a guest to my workspace but they were turned into a member automatically.
    You may have the Allowed Email Domains setting turned on. When enabled, this feature allows people with specific email domains to join your workspace as a member automatically. You can disable this setting in the Settings tab of Settings & Members in the left sidebar. More on this here →
  • Can I password protect a page?
    Not at the moment, but it's on our to-do list! For the time being, you can share your page privately by using the Invite a Person button in the Share menu at the top of a page, although they will need to have a Notion account in order to view it.
    If they don't have a Notion account, you can enable Public Access in the Share menu, and ensure that search engine indexing is disabled for privacy. That said, anyone who has the link will be able to see it on the web.
  • Is there a way to see a list of all my public pages?
    Not at the moment, unfortunately 😓We'll work on that!
  • How can I trigger a reminder for someone else on my team?
    The best way to do this is to use an @-mention and @remind on the same line. For example:
    "@d0a8cba1-b998-46a3-bcd1-0efb420410b1 @remind next Thursday 4pm to finish proofreading."

Pricing & billing

  • When I subscribe to a paid Personal Plan or Team Plan, does it cover all my workspaces?
    Paid plans only apply to one workspace and don't cover your whole account. We charge per workspace if you have multiple. Workspaces are completely separate, so you won't be able to link any content between them.
    We recommend using the least number of workspaces possible, and taking advantage of top-level pages and group permissions in order to work with many people within the same workspace. More on that here →
  • Why aren't I getting emailed invoices?
    We don't currently have a way to send invoices by email automatically, unfortunately, but you can download PDFs of your invoices in the Billing tab of Settings & Members in your left sidebar.
  • How can I update my invoices to include my billing address and/or VAT number?
    We can update this info for you! Just message us in the app by clicking ? at the bottom right on desktop (or at the bottom of your sidebar on mobile). Or email us at team@makenotion.com.
  • Can I pay with PayPal or Alipay?
    We only accept debit cards, credit cards, and bank transfers at this time. We're open to adding more payment options in the future though!
  • My paid workspace just got downgraded to a free plan. What happened?
    You may have an unpaid invoice on your account — our system will automatically downgrade a paid account after several attempts are made to collect payment.
    That said, you can re-upgrade via the Upgrade tab of Settings & Members to remove the block limit and settle your unpaid invoices from there. Send us a message if you need help!
  • I just upgraded to a paid plan, but one of my workspaces still says "Free Plan."
    Paid plans only apply to a single workspace and don't cover the whole account. We highly recommend using the least number of workspaces possible, and taking advantage of top-level pages in your sidebar and group permissions to stay organized. More on that here →
  • Does Notion offer student discounts?
    We’re not currently offering student discounts, but we do have a referral program. By referring others to Notion, you can earn credits to upgrade your account for free!

  • Someone signed up with my referral link, but I didn't receive any credit!

Account & settings

  • How do I change my password?
    We don't actually store passwords. If you use your Gmail to log in, then your password is the same as your Gmail password. Otherwise, if you log into Notion with another email, we generate a new password for you every time you log in. We'll send it to you over email. So, technically, there's nothing to change!
  • How can I switch between workspaces that are under different email addresses?
    Currently, you can only use the workspace switcher at the top left if you're using the same email address for each workspace. We don't support multiple email access yet, but it's on the to-do list 😅
    We suggest having one account logged into your desktop app and one in your browser, or both using our web app with one logged in in an incognito window.
    If you're using a Chrome browser with multiple Chrome profiles, you can switch between profiles within the browser. This allows you to switch emails without logging in and out.
  • I clicked Create or Join Workspace, but it will only let me create a workspace.
    You can only join a workspace via the Create or Join Workspace button if that workspace has the Allowed Email Domains setting enabled, which lets users with your email domain join the workspace automatically.
    To join a workspace, you'll need to ask an admin from that workspace to send you an invite.
    You won't be able to join workspaces that are associated with a different email address than the one you're currently logged in with.
  • How do I change my language?
    Unfortunately, we haven't yet internationalized the product, so there isn't a localized version available right now. But we will start supporting languages other than English down the line — thanks for your patience while we work on that 🙏
  • How do I log out of a workspace?
    On desktop, click the name of your workspace at the very top left of your Notion window. You'll see the Log Out button at the bottom of this dropdown menu.
    On mobile, tap the ☰ at the top left, then tap the name of your workspace at the top of that menu. Tap Log Out at the bottom of the menu this opens.
  • Is there a limit on the size of file/image/video I can upload?
    On Free Plans, the limit is 5MB. For paid plans, there's no limit!
  • How can I migrate all my Notion content to a different workspace?
    1. Log into the account that has the workspace.
    2. Consolidate all of your pages under one top-level page there.
    3. Share this page with full access to the email address of the destination account.
    4. Log into the destination account and navigate to the workspace switcher.
    5. Access that shared top-level page.
    6. Select all the sub-pages, click the ⋮⋮ icon and select Move To. (Note: you can only move sub-pages, you will not be able to move the top-level page.) 
    7. Select the destination workspace.
    8. ​Voila! Your content has a new home ✨
  • My company is changing their domain name. How do we migrate?
    Our system will recognize and change the account emails to the new domain automatically upon login with the new domain, as long as the email address is the same (i.e. "john@makenotion.com" → "john@notion.com").
    If the email address is not the same (i.e. js@makenotion.com → john@notion.com), you will need to manually change your account email in My Account under Settings & Members in the sidebar.

Web clipper

  • I tried using the web clipper on mobile, but got an error message This app is not supported.
    Unfortunately, Notion Web Clipper only works for entire pages from your web browser, or photos from your photo roll. It doesn't support other apps yet, like the Twitter app or the iOS Notes app. Definitely possible in the future though!
  • I tried clipping a web page with the Web Clipper, but some of the page content is missing.
    Oops, sorry about that 🙈If you wouldn't mind sharing the URL with us at team@makenotion.com, we'd be happy to flag to our engineering team so they can tweak the clipper accordingly.
  • Can you add tags to a web page while clipping it?
    Not at the moment, unfortunately. Definitely possible for a future iteration though ✂️
    For the time being, you'll need to open the clipped page in a Notion database to add and edit any tags or other database properties.

Troubleshooting

  • I'm not getting email notifications when changes are made to a page I follow!
    If you have Notion open on a mobile device or computer, you won't receive push or email notifications for reminders, you'll only get a red badge notification in All Updates.
    If Notion is not open on your mobile device or computer at the time of the notification, then you'll receive an email instead of a notification to All Updates. Learn about notifications here →
  • I tried to embed a Google Doc/Sheet, but I got an error message.
    Try logging out of all the Google accounts you're logged into on your device, then log back into Notion using the email address associated with your Notion account using Continue with Google. Now try embedding the file again.
    Still doesn't work? Send us a message and we'll help figure it out.
  • I tried to embed a Google Doc/Sheet, but I only see a blank gray box.
    Mac app:
    • Navigate to the Notion menu in the top bar, and select Clear Cache.
    • Log back in using Continue with Google.
    Windows app:
    • Log out of all Google accounts.
    • In the Notion Windows app, go to View and then Toggle Developer Tools.
    • In the Application tab on the top, go to the Clear storage tab on the left and then click Clear site data.
    • Log back in using the appropriate Google account and try embedding again.
    If that doesn't work, send us a message and we'll be happy to troubleshoot further!
  • How can I embed a Google Map with directions from one destination to another?
    1. In Google Maps, search for the travel directions you want. Then click the ☰ menu at the top left of the window. Select Share or embed map. Copy the URL that appears under Link to share.
    2. Back in Notion, add an embed block with /maps and paste the URL you copied into the field provided. Press enter. You'll see something like the below appear:
  • My sidebar doesn't have any sections. How do I turn those on?
    The sidebar sections reflect the sharing settings of your account. If you have more than one person in your workspace, a Workspace section appears in the sidebar for your collaborative work, and a Private section is there for your personal pages that are only visible to you.
    That said, you can enable these sections manually by clicking Share at the top right of any page, and turning on the Workspace Access switch. More on your sidebar here →
  • What if I accidentally deleted something permanently? Any way to get it back?
    If you accidentally delete a page, a workspace, or even your entire account, we can help! Accidents happen 😅 Just send us a message in the app by clicking ? at the bottom left on desktop (or in your sidebar on mobile). Or email us at team@makenotion.com.
    We keep per-minute backups of our database, which allows us to restore a snapshot of your entire content at any minute in the past 30 days if you need it.
  • Is there a way to schedule automatic backups?
    Not at the moment, but we do have a public API and Zapier integration on the roadmap that may help to enable automatic backups in the future ⚙️
    For the time being, you can export your entire workspace by clicking the Export Entire Workspace button in the Settings tab of Settings & Members in the left-hand sidebar. More that here →
  • I think Notion might be missing some emojis.
    Yeah, we're using a slightly older emoji font at the moment, but updating it is on our to-do list! 😅
  • Why are all my emojis black and white, or missing?
    Are you running Windows 7 as your operating system? Notion pulls the emojis directly from your system font, and Windows 7 doesn't have them built in 😓
    That said, we have a project on our roadmap to standardize these across platforms. Thanks for your patience while we work on that!
  • How can I open links in the desktop app automatically, instead of in the web app?
    There isn't way to automate that at the moment, unfortunately, but we're working on it! For the time being, you can use the Open in Mac/Windows App button in the ••• menu at the top-right of every page. You can also replace the https: in the URL of any Notion page with notion: and it will pop up on the desktop app.
  • I just made updates to a page, but I didn't receive a Slack notification.
    There's a five minute delay built in, to prevent these notifications from getting too noisy!
  • When I try to turn on the Slack integration, it just takes me to the Notion home page.
    Sorry for the confusion 🙈You can't enable the integration from Slack. You'll need to turn it on inside Notion, using these instructions.
